Who We Are
Document Transformation Technologies was established in 1998 to provide a value added service specifically directed for event organisers to manage the flow of documentation and produce the event proceedings on a CD-ROM in an effective, efficient and financial viable manner. In this function we have assisted the organisers of both national and international events, ranging from 20 authors to over 350 authors, and from 50 delegates to over 800 delegates. We provide a fully inclusive service to replace the presentation of documentation in the form of printed material on paper with the collation of the same material, on CD-ROM, as well as supporting documentation in hard copy format - where required (i.e. presenters’ biographies), as well as indexed electronic files (i.e. a book of abstracts) prepared ready for printing.
We will transfer all documentation, which would have typically been produced in the form of a volume(s) of papers to CD-ROM. The CD will be structured to allow for easy access to all event documentation, allowing for full text or Boolean searching by any word or phrase. All documents are indexed (listed) according to the principle author, as well as by plenary / keynote / theme or session. Typically dynamic e-mail and web links to the main author, the sponsors, exhibitors and hosting organisations are included.
We would prefer to undertake the direct communication with the confirmed authors in respect of receiving the accepted papers, at no additional cost, to ensure that we receive the necessary documentation in the correct format, for which purpose we have developed some guidelines. Our service can also include a full Peer review process. All of our communications are normally undertaken via e-mail.
Obviously communication is key to a project of this nature, and we confirm the receipt of all documents with the authors, and communicate directly if there are any problems. The Organisers receive regular (initially monthly, then fortnightly and finally weekly) reports providing details of all documents received and the current status of outstanding submissions. This information is also placed directly onto a dedicated web page so that all authors and the organisers (and in fact potential delegates) can check the status directly.
We do not as part of the standard service package undertake to edit or check grammar of submitted papers, however this can be undertaken. Our service includes the checking and the formatting of all documents received against the stipulated format (fonts, spacing, margins, page size, etc.); the checking for widows and orphans; the checking for missing graphics; the correction of layout, and the inclusion of a footer on the first page of all papers detailing the event.
We can insert sequential page numbering either on a virtual or actual basis throughout the complete document collection.
The CD and the CD packaging are designed to carry the event theme, thus ensuring an appropriate branding, including appropriate sponsor branding. Both the CD and the Packaging are silk-screened printed in full colour. The CD will have copies of the latest Adobe Acrobat Reader and Search for Windows, it will auto-launch – but not auto-install.
The completed CD-ROM’s and other supporting documentation are then delivered to either the conference venue or the offices of the organisers within the agreed time schedule.
